Arizona Desert ENT Specialists improves coding, productivity and patient care with ModMed

Case Study

Practice Goals

  • Improve coding accuracy to revamp billing
  • Spend more time with patients by speeding up documentation
  • Streamline workflows for allergy and surgery scheduling

Key Benefits Experienced

  • Increased revenue capture with online payments
  • Reduced admin workload with streamlined scheduling and billing
  • Increased productivity using intuitive tools from ModMed

Arizona Desert ENT Specialists knew there was a better way to meet practice demands. Paper workflows hindered accuracy and productivity, leaving providers rushing visits and feeling uncertain about coding, which impacted revenue. Staff battled bottlenecks, especially when coordinating surgeries. The practice needed an all-in-one platform to connect operations and help providers align coding with care. Practice administrator Belinda Cano shares how ModMed led the practice into a paperless and centralized management system across two locations for improved efficiency and revenue capture.

Belinda Cano, Practice Administrator, shared these results:

Increased patient volume by 10% across two offices

Increased revenue capture by implementing ModMed Pay

Reduced claim denials with guidance from suggested coding

Headshot of a person

“ModMed gave us the tools we needed to work smarter and cut down on unnecessary workflows. It brought everything into one place, which made it easier for our providers to document and for our staff to manage tasks.”

Belinda Cano, Practice Administrator

From paper to an all-in-one digital platform

One of the biggest frustrations in our practice came from the inefficiencies of partial paper-based workflows. These manual processes made it difficult to maintain accuracy and led to inconsistent productivity as staff scrambled to manage day-to-day tasks. We initially tried to resolve this by adopting a specialty-agnostic EHR, but it lacked the ENT-specific features we needed. As a result, our team continued to struggle, working harder to fill in the gaps the system couldn’t address.

We chose ModMed because it’s built specifically for otolaryngology, and other systems weren’t. ModMed ENT made the transition from our previous system a lot easier, especially because our providers were excited about the suggested coding. That was the main selling point for us, and it delivered.

Coding accuracy improves billing

Coding uncertainty had plagued us at both the provider and billing levels. During visits, our providers were torn between documentation and building rapport with patients, leading them to not document thoroughly and a lack of confidence when coding services rendered.

We really appreciate how ModMed’s suggested coding prompts help providers streamline coding based on their documentation. They can spend more time being present with patients, listening and looking at the patient in front of them. When the visit is over, they just have to review and approve their notes and can continue to do what they do best, care for patients.

As a result of better documentation, our claims denial rate has gone down significantly across the board.

Revenue increases

After implementation, we were able to add another provider, bringing our total to seven. We’ve also seen a 10% volume increase across both our locations, helping to contribute to an increase in revenue.

We also decided to implement ModMed Pay to further streamline revenue capture. ModMed Pay lets us offer our patients multiple ways to pay, including contactless payments, and lets us store card information on file. We can set up payment plans and use autopay features. Our patients benefit, too, because they can pay before they even come into the office. It helps save time, and patients are able to review their finances privately rather than doing math and making personal accounting decisions on the fly at our front desk.

On our end, we rely on ModMed’s dashboard to monitor payment capture. We log in and can see information like pending payments or if customers stop making payments on their plans. It’s very user-friendly.

Smoother scheduling

Scheduling is also more user-friendly now. Before ModMed, we faced workflow challenges and inefficiencies, particularly around provider orders and surgery scheduling. With ModMed, the process functions more smoothly. Team members can align around a centralized source, eliminating manual paperwork handoffs that slow things down and risk missing information.

Surgery scheduling is much smoother. Orders go directly to the specific scheduler or to the group. As a practice administrator, I can check the status to ensure everything is documented and scheduled appropriately. It takes manual work off my plate but still keeps me in control of administration.

Easy implementation

ModMed makes implementation easy for busy practices like ours. A training specialist helped us onboard during online sessions. We introduce new hires to ModMed products by having them watch videos on ModMed U. Our operations supervisor signs them up so that when we start training them, everything clicks into place.

When we need additional support, we reach out to our account representative. She responds so quickly — I almost always receive an email back the same or next day.

Advice for ENT practices

Based on my experience, I highly recommend ModMed. It helps our entire practice, especially because it has helped us improve coding accuracy. As a practice administrator, I encourage others in my role to get started.
