I joined Mid State Orthopaedic and Sports Medicine Center in 2023 as the Billing Manager. The practice is substantial, with nine doctors, nine nurse practitioners and physician assistants, and six physical therapists and occupational therapists, operating across three main and three satellite locations. Although the practice already used ModMed for orthopedics, I quickly saw how it solved the major challenges they had with previous systems.

Their previous system was notoriously hard to navigate. It was a maze of folders, often requiring seven or eight clicks just to find a single attachment. Unlike ModMed, where information is intuitively at your fingertips, this clunky interface caused significant bottlenecks and frustration for staff.

Having worked with other major systems, I recognized how user-friendly ModMed’s system is. The billing side, which was once chaotic, is now a clear dashboard with all necessary information displayed. The claim history is very detailed, providing a clean, simple view compared to other systems that felt cluttered and overwhelming.

Protocols and scheduling templates

Our previous system made scheduling and template management difficult. We had to rely on separate paper documents or Excel spreadsheets, with every day being different for each provider. It was a significant challenge. Once we moved to ModMed’s scheduling management, it made all the difference. We can now build templates directly within the system, which eliminates our reliance on separate, slow processes.

This scheduling templating feature has become a huge time saver for our practice and has allowed me to push for the use of Protocols in our physician training. I encourage our physicians to create their own Protocols directly from a current visit if they like how it looks and it’s a common workflow they use. This proactive approach helps our physicians save time and ensures that our practice is continuously improving and leveraging the system to its full potential.

Seamless transitions and financial gains

One of my early successes was overseeing the implementation of the PT billing department to ModMed. The transition was remarkably smooth. The process felt easy and seamless from one step to the next. The training and the simplicity of the new workflow made the process straightforward, and overall, everything went great.

One aspect we love about ModMed is the electronic eligibility verification. The previous system lacked this feature, forcing our staff into a time-consuming routine of several calls or battling with clunky web portals for eligibility checks. With ModMed, the system automatically performs these checks, allowing staff to simply review a report for any failures. This has helped reclaim large blocks of time that were once consumed by these manual tasks.

With ModMed, I truly feel it is a partnership. A company willing to work with you and for you is better than one that just listens to your challenges without taking action. This partnership includes training and support. My team and I have adopted a proactive approach, re-evaluating training for new offices to make sure it’s effective for those offices’ needs.
