Meet Practice Administrator Kaitlin Meeks

Kaitlin’s story
When Piedmont ENT and Related Allergy became part of Southern Ear, Nose, Throat and Allergy (SENTA), a physician-led community of specialists in the Southern region, I had the opportunity to support additional ENT locations across the organization. From coordinating teams for implementation to sharing workflows that have proven successful, I’ve continued to focus on practical improvements that make a difference.
I’ve been in healthcare, specifically ENT, for more than 10 years. I started at another SENTA practice at the front desk and gradually took on more responsibilities as the practice grew. Over time, I moved into a leadership position. Having worked in several different roles helped me understand how to make day-to-day operations more efficient for staff and patients.
A focus on care
Before ModMed, our scheduling was inconsistent and difficult to manage. One provider saw 16 patients a day and struggled to complete notes. After implementing ModMed, the same provider sees 24 patients and completes documentation in real time. Across the board, we’ve improved patient communication and stayed on schedule without adding extra pressure on our team.
Patient Collaboration tools with Klara have played a big part in improving our workflows and easing the burden on the front desk. Patients now check in ahead of time, upload their insurance and add a card on file for payment before stepping into our office. Our call volume dropped significantly, and our staff has been able to do more with the time saved. With these changes, we have also recovered $112,000 in patient collections over two years by reducing billing gaps. We attribute this to ModMed and, specifically, learning the best way to use Klara for our practice. With this success, I am helping implement Klara at another SENTA office.
Building momentum across the network
When I started at Piedmont ENT and Related Allergy, ModMed had already been selected to be implemented, but our team didn’t know where to start. I took the lead on implementation, with guidance from ModMed, coordinating provider training, including on evenings and weekends, to meet the needs of the whole team. Along the way, I activated overlooked features like the automated waitlist, which can automatically suggest waitlisted patients to fill available appointments, and that quickly improved our patient satisfaction scores.
That experience launched me into supporting other practices in our network going through implementation. Moving to Piedmont ENT and Related Allergy, I could share what’s worked well with the other office I worked with that just completed implementation. I knew some people would resist change, so I would sit with each person and ask, “What do you want the system to do?” Then, I showed them how. This helped the staff understand the software and made the system work in a way that supported their day-to-day. Whether it’s building templates or simplifying communication, I’m proud to help others get the most out of ModMed.
Being named a ModMed Practice HERO Award Winner is an honor, but more than that, it reflects the collaboration and hard work of the teams I’ve supported. Whether improving schedules, easing front office strain or helping others with their implementations, my goal has always been to make daily work easier and more efficient.
