Client overview

U.S. Orthopaedic Partners (USOP) is an orthopedic Management Services Organization (MSO) based in the southeastern US, operating across 10 practices in Alabama, Mississippi, and Louisiana. The organization boasts over 300 providers, 130 doctors, 55+ satellite locations, and two surgery centers.

The challenge: The weight of disparate systems

USOP’s growth-by-acquisition strategy initially resulted in operational silos. With 10 different practices running on disparate legacy systems, the organization faced significant manual overhead, inconsistent reporting, and heightened security vulnerabilities that threatened its ability to scale. This lack of a unified platform created a glass ceiling for USOP’s ability to deliver advanced business insights to its partners.

Randy White, Senior Vice President of Information Technology, noted: “Before ModMed, we were pulling data from a lot of different systems, and mapping it all together was a very manual process that could take weeks. Now we’ve got one primary source of data across the platform, which gives us faster, more reliable insights and helps us make better decisions as an organization.”

The solution: Building a standardized foundation with ModMed

To break through this constraint, USOP chose the unified solution by ModMedas its enterprise standard. The selection process prioritized cross-functional buy-in, involving stakeholders from clinical, administrative, and financial teams to ensure the platform met the needs of every user.

Standardizing systems across all 55+ locations simplified operations, enabling providers to focus more on patients and save staff time. Randy led the integration across all locations. He shared their results:

“Getting everyone onto the same EHR/PM system opened up capabilities many of our practices hadn’t had before. Having consistent data across the platform helps us make better decisions, and our super users and physician champions played a big role in helping each group get there.”

Measurable impact: Powering the MSO business model

Standardization immediately modernized the patient experience for acquired practices. By implementing ModMed’s kiosk functionality, robust patient portals, and “text-to-pay” options, USOP shortened the collection cycle and increased patient satisfaction scores. These enhancements provided a significant boost to patient attraction and collection rates, proving to be a key element of the acquisition’s return on investment.

ModMed’s all-in-one platform enabled USOP to implement PRISM, its proprietary executive data warehouse. PRISM pulls data across all 10 practices to provide business insights and benchmarking that individual groups could not achieve on their own. This data is used to generate physician scorecards that track critical performance indicators such as collections and note closure rates. When concerns rose about note finalization times, the organization used ModMed data to inform providers exactly how long it was taking them. By unifying the revenue cycle management (RCM) workflows, several practices successfully pushed their Days Sales Outstanding (DSO) below the 30-day target, a hallmark of financial excellence in the orthopedic space.

Additionally, USOP started using ModMed’s clinical AI assistant, ModMed Scribe 2.0, with outstanding results.

“We’re already seeing some encouraging results from ModMed Scribe. One physician told me he finished all of his notes before leaving for the day, which hadn’t happened very often before. And by applying Protocols across the platform, we’ve saved more than 30,000 staff hours and an estimated 3 to 7 minutes per patient visit,” Randy reported.

Beyond go-live: Fostering internal adoption and continued success

USOP leveraged the partnership to ensure a smoother, repeatable rollout process. They requested and were assigned the same ModMed implementation team for each subsequent conversion, enabling the team to consistently apply USOP’s standards across the larger groups that followed. The repetition of the onboarding process, including on-site training, has allowed the team to implement new acquisitions quickly.

Randy shared, “One of the biggest things that helped us was building a strong group of super users and physician champions inside our own organization. As practices went live, we brought experienced team members into the next rollout to help support the transition. That built a lot of internal knowledge and made us less dependent on outside support over time. Like any EHR change, there was some hesitation at first, but most of our providers would tell you today it was worth the effort.”

The standardized environment also simplifies new product integration. USOP can now pilot new solutions in a single location and easily repeat the process across all 10 practices, enabling rapid deployment of new AI tools.

Looking ahead: The future of AI and innovation

USOP recently celebrated a major achievement: the partnership reached a one-year milestone, with all 10 practices live on ModMed for one year. With this success, the focus has shifted to optimization, with an emphasis on aligning workflows from patient intake through checkout.

The team is excited about upcoming developments like the integration of AI, analytics with RCM, and the implementation of ModMed Patient Engagement, powered by Klara, confident that ModMed is listening to their needs and making adjustments to fit their business requirements.
